Collecting and processing applications

The process consists of three basic stages:

  • Collecting and preparing correspondence for data entry process /sorting/

  • Regardless the data entry technique we select, the coupons and forms collected should be properly prepared for data entry. During this process the correspondence is opened, counted and checked whether it can be entered into the system and whether it is correctly filled in.

  • Data entry

  • This is a key element for the entire process because the quality of our database depends on it.

    Data entry may be effected in a traditional manner i.e. by manual data entry into the basis or by using OCR technology i.e. automatic recognition of the characters by relevant software. Both techniques make possible entering data at high quality standards with only one condition: a properly designed and adequate to existing resources data entry process should be implemented.

    The difference between mentioned techniques is a high efficiency of OCR technology which manual data entry is not able to meet.

    Additionally in the scanning process the stage of delivering and collecting the coupons from operators is omitted so we have better control over the documents that are archived on ongoing basis, and the level of data security is higher. The necessity of using a special form could be considered as a limitation of scanning techniques but still the flexibility is very high so it is not a very troublesome issue.

  • Archiving paper documents

  • If we intend to process data of our clients in accordance with the Act on Personal Data Protection we need to obtain their consent. The filled forms include the clause „I agree for the data processing..” After signing by the client it becomes a document, a proof that we had clients consent.

    Every database used for marketing communication must have its reflection in the documents we store. This is how paper document archive is being created. It should be designed and kept in a way that without problems a coupon of every client registered in the databases could be found. Such an archive should also meet the safety requirements.
