Designating database and sending correspondence

This process consists of three basic parts:

Sending of the prizes is an element of the process which enables us to verify the correctness of the database that we have constructed, This is a moment when all mistakes committed up to far will appear, for example, resulting in not delivered packages.

The elements of the process are: selection of records and then preparation for mailing.

Databases prepared for mailing can be divided into two categories: for communication purposes, informing about promotion and for sending prizes. This is an artificial selection done for purposes of this document.

The first kind of database may be created by selection of existing resources i.e. company’s internal database or by purchasing external database. It is possible to merge any database but the following elements should be taken into consideration:

- proper selection of target group that influences the percentage of response

- data base deduplication i.e. checking if the information in the database is not repeated

- checking against dictionaries, controlling the correctness of addresses

- database validity

The second kind of database consists of data of people who participated in the promotion and to whom the prizes should be sent. It will always be an internal database. In this case we should remember about very precise rules on granting the prizes. The analysts who will be responsible for selecting the address base should get to know and understand these rules in details. A mistake on this level could result, in extreme cases, even in loosing our good reputation. Sending prizes to wrong addresses may bring unnecessary financial consequences and the trust of our clients may be lost forever.
