Space for data entry
When we ask our Client to fill in data we should always take into consideration that this information would be later entered into database. The quality of data that we receive as a result of data entry is directly influenced by its legibility. Taking into consideration how different hand writing characters may use our customers we should try to force them to use block typing it means entering separate capital letters. It can be facilitated by using so called „crests” (picture 1) or squares (picture 2).
Crests or squares should always be in light red color so they are not melted into the background. As a result our data will be legible and will be one of the factors allowing the usage of scanners and computer characters recognition.
Another rule that should be followed is to give the person who fills in the information enough space to enter the required information. The easiest test that can be made is to ask a few people from your office to fill in the document. Their comments will constitute a valuable guideline.
Here are some examples:
- The name field – length allowing to enter 12 characters
- Postal code field - length allowing to enter 6 characters
- Dialing code number field - length allowing to enter 2 characters
- Fixed-line telephone number - length allowing to enter 7 characters
